TRIAL CLASS
Trial lessons may be booked online through our website or with our admin staff, in person or over the phone. Please view the timetable on our website in advance and select a class that you would like to trial. If you book online and the class you select is booked out, we will contact you to advise which days are available. If you trial a class and continue for the remainder of the term, you will be invoiced for the term fee pro-rata from your first class. If you decide not to continue after your trial class, there is no charge. One trial lesson is permitted per style.
Following your trial lesson you may contact our office to discuss or simply complete a full enrolment form online.
EXAMINATIONS/COMPETITIONS
The Royal Academy of Dancing holds an examination session yearly for all ballet students, if suitable. Students must attend two Ballet classes per week to be considered to sit for their RAD examination (Primary Level & upwards). Eisteddfods Groups and solo work also available. Commonwealth Society of Dance hold examination once per year in Jazz and Tap.
PHOTOGRAPHY/FILMING
Photographic consent and release is obtained at time of enrolment. By giving photographic consent students/parents agree to The Kimberley Woodger Dance Academy using images and/or videos of students on the Kimberley Woodger Dance Academy website or for social media and advertising purposes. Students/parents are not permitted to video or photograph classes, students or staff at any time, unless given permission by the staff or individuals involved. Due to music copyright laws, filming of all Kimberley Woodger Dance Academy theatre performances is strictly prohibited. Parents or guardians who do not wish for mages of their child to be published should contact Kimberley Woodger Dance Academy in writing by emailing woodgerdance@optusnet.com.au, which will be treated in strict confidence.
GENERAL / FEES
Classes run according to the school term to allow for school holidays. All classes are held on public holidays unless otherwise advised. Fees are payable on the first day of class each term. Arrangements can be made for special circumstances - please see your Miss Kimberley personally.
Fees are per term not per class. Term fees are on a per-term basis (not per-class)
Invoices for the next term are sent three weeks before the end of the current term. Fees for the next term are due first day of that term. If a student enrols or begins a class mid-term, only remaining lessons will be invoiced. With the exception of ANZAC Day, classes are always held on Public Holidays that fall within each term. GST is applicable on all invoices and will be detailed specifically. Term fees are not discounted due to absence under any circumstances, however two make-up lessons in another time slot are permitted per term. Fees remain the same per term regardless of number of weeks in a term.
OPEN DAY
To ensure the students’ full attention, and to enable the children to focus during class, parents are asked to wait outside during class. All parents are invited to attend Open Day in the studio to view class. Open Day is usually held on the last day of terms 1 & 2. We showcase ALL our students in our end of year concert.

Kimberley Woodger Dance Academy will provide an opportunity for every student to experience joy, creativity and artistic freedom in dance by facilitating the achievement of a secure technical foundation in a warm and caring environment.
CATCH UP CLASSES FOR MISSED CLASSES & POLICY
1. Proficiency in class is largely dependent on regular and consistent participation. It is strongly recommended that children attend all classes in the session. Absenteeism interrupts the technical progression of the child in the class and disrupts the continuity of the class for other students.
2. It is the parent’s/dancer’s responsibility to notify the teacher(via email: woodgerdance@optusnet.com.au) of absences and make arrangements in advance for any potential make-up classes. Make-up classes for absences due to illness or other circumstances will be allowed as class size and teacher schedule will permit. Make-up classes will NOT be scheduled during observation weeks, costume weeks, or weeks being utilized for choreography instruction.
3. NO REFUNDS OR DISCOUNTS WILL BE GIVEN FOR MISSED CLASSES!
Fees and performance fees are non-refundable.
Non-attendance does not constitute withdrawal. We require two weeks advanced written notice if you or your child wishes to withdraw from our program.
We do not refund absences. No refunds/credits are given to for dancers missing classes, missed classes due to vacation, holidays and/or days off from school.
4. Make-up Lessons: Proficiency in class is largely dependent on regular and consistent participation. Therefore, it is recommended that students make up classes whenever possible. All make-up classes must be made up within the current term session.
5. Fees. Fess are payable on the first day of term, each term. Discounts apply for multiple classes per child.
For new students starting after the term has commenced, fees are calculated pro rata from your child's first class start date.
Fees are refundable for Mummy & Me, Creative Movement classes only, however 2 weeks notice is required.
6. Trial Classes are offered. However you will be invoiced from your first class, if you decide to continue with that class.
7. Fees are charged per term. Length of the term may differ from term to term however, our fees will remain the same for each term.
ATTENDING DANCE CLASSES
Dance classes can involve risk of personal injury. While KWDA takes all reasonable care in the conduct of its classes; it accepts no responsibility for injury or loss caused during classes or whilst participants are at or near the dance studio. You are responsible for ensuring that you are physically and mentally fit for the class and during the class you must at all times take care of your own personal safety. By attending classes on our timetable you agree to these Terms and Conditions.
Parents/Cares must collect students on time. If an emergency, please text us and we will ensure the child remains in the class room. We are NOT responsible for students in the foyer area before or after classes.
BEHAVIOR & BULLYING
Kimberley Woodger Dance Academy does not tolerate swearing, indecent or disrespectful language, defamatory comments, or indecent or disrespectful conduct from staff, students, parents/guardians, family members, or visitors. Appropriate behaviour is expected on the premises and at associated events, as well as online. Where any person or student feels that they are the victim of bullying, they should notify the Principal Kimberley Bennett-Woodger immediately by emailing dance@kwda.com.au All incidents brought to the Principal’s attention will be addressed and resolved promptly. If inappropriate behaviour persists, Kimberley Woodger Dance Academy reserves the right to terminate enrolment immediately.
Our Commitment to Child Safety
At Kimberley Woodger Dance Academy, we are committed to providing a safe, nurturing, and inclusive environment where children and young people can develop their passion for dance with confidence and security. We have a zero tolerance policy for child abuse, neglect, or any form of harm, and we take our responsibility to protect students seriously.
Our Child Safe Plan ensures that all students feel supported, respected, and empowered while participating in our programs. This plan aligns with child protection laws and best practices, including Working with Children Check (WWCC) requirements in Queensland and the guidelines set by Ausdance and other industry standards.
Child Safety Principles
1. Child Wellbeing First – student safety and wellbeing underpin every decision.
2. Zero Tolerance for Abuse – we prevent and respond to abuse, discrimination, or harm.
3. Strong Leadership & Governance – child safety practices are embedded in studio operations.
4. Clear Expectations for Staff & Volunteers – professional conduct, background checks, and ongoing training are mandatory.
5. Safe Environments – we maintain clear protocols for supervision, privacy, and communication.
6. Injury Prevention & Safe Dance Practices – structured warm ups, cool downs, hydration, and age appropriate technique.
7. Open Communication & Accountability – parents, students, and staff are encouraged to raise concerns.
8. Emergency Preparedness – first aid trained staff, documented procedures, and readily available kits in all studios.
9. Continuous Improvement – annual reviews and updates ensure best practice.
Supervision and Interaction Guidelines
• General Supervision – Classes and rehearsals occur in open, visible areas. Doors are fitted with viewing windows for parental visibility.
• One on One Situations – A second responsible adult or parent must be present when a staff member works individually with a student, unless safeguards (e.g., windowed doors, CCTV, open door policy) are in place.
• Parental Boundaries – Parents/guardians must not be alone with children other than their own in private studio spaces.
Child Safe Code of Conduct
All staff, volunteers, and contractors must:
• Treat every child with dignity and respect.
• Maintain professional boundaries in all interactions with students.
• Avoid being alone with a student in an enclosed or unmonitored space (see Supervision Guidelines).
• Use appropriate language and behaviour at all times.
• Report any child safety concern immediately to the directors or relevant authority.
• Follow the Communication, Social Media, and Supervision Policies outlined below.
Breach of this Code may result in disciplinary action, up to and including termination of employment or contract.
Screening and Training of Staff
• Valid WWCC for all staff and volunteers.
• Reference checks for all new employees.
• Current CPR and First Aid
• Ongoing professional development refreshers.
Communication, Social Media, and Supervision Policies
Communication
• Communicate with students and parents politely, kindly, and constructively.
• Provide feedback that supports a student’s self worth and encourages growth.
• Address concerns promptly and respectfully.
Social Media & Online Conduct
• Do not add students or parents to personal social media accounts.
• Maintain professional privacy settings and content; online presence reflects the studio.
• Share studio related content only through authorised channels.
• Never publish identifying images or information about a student without written parental consent.
Supervision Protocols
• Children are supervised at all times while on studio premises.
• Attendance is taken for every class.
• Staff ensure safe exit of each child before leaving the teaching space.
• Staff ratios are planned to maintain a safe learning environment.
Reporting and Responding to Child Safety Concerns
• Mandatory Reporting – Any suspicion of harm, abuse, or neglect must be reported.
• Confidentiality – All reports are handled sensitively and privately.
• Student Support – Appropriate assistance offered to any student raising a concern.
• Whistle blower Protection – Good faith reporters are protected from retaliation.
Child Safety Risk Management
We routinely assess risks related to studio facilities, equipment, supervision levels, privacy in change areas, off site performances, online interaction, and emergency readiness.
Review and Continuous Improvement
This Plan is reviewed annually, or sooner if legislation changes or incidents occur. Community input is welcome at any time.
